O3Spaces kondigt de vrijgave van O3Spaces Workplace 2.4.0 aan, de nieuwste versie van haar cross-platform software voor Documentbeheer en Samenwerken.

“Te midden van wereldwijde economische perikelen is het laatste kwartaal van 2008 het meest succesvolle kwartaal gebleken sinds de lancering van O3Spaces Workplace in 2006, zowel voor wat betreft het aantal nieuwe klanten als de grootte van de installaties." zegt Rob Mentink, directeur van O3Spaces. "In het huidige economische klimaat zijn de Workplace functionaliteiten in combinatie met de cross-platform and kosten voordelen van O3Spaces Workplace duidelijke USP's, omdat ze zich vertalen in een lage 'total cost of ownership' voor onze klanten, als gevolg hiervan kiezen steeds meer organisaties over de hele wereld voor onze Workplace."

O3Spaces Workplace 2.4.0 is de eerste O3Spaces release die e-mailintegratie bevat. Met deze toevoeging kunnen e-mails worden gearchiveerd in een Workspace naar keuze, direct vanuit een e-mail client. In de Workplace repository opgeslagen e-mails (en bijlages) zijn inhoudelijk doorzoekbaar en kunnen worden ook worden bekeken in de Workplace browseromgeving. Eveneens kunnen bestanden uit de Workplace eenvoudig in een e-mail client als bijlage aan een e-mail worden toegevoegd.

Andere noviteiten zijn onder andere de uitbreidingen van de Workplace Assistant, de gebruiksvriendelijke desktop client, deze ondersteund nu het kopiëren, plakken en verplaatsen van bestanden en mappen in de repository als toevoeging op de drag & drop upload mogelijkheden. De Workplace Assistant zelf kan gericht worden aangeboden aan een specifieke gebruikersgroep. Tevens is het versioneringssysteem van de Workplace repository uitgebreid, waardoor ook handmatig beheer van documentversies bovenop de reeds bestaande geautomatiseerde functionaliteit beschikbaar is. Op technische vlak zijn verdere mogelijkheden voor customization, uitbreiding en API-gebruik toegevoegd.O3Spaces Workplace 2.4.0 is de eerste Workplace release met een Russische interface, die de vele Russisch sprekende Workplace gebruikers over de hele wereld bedient.

Gebruiksgemaak zeer gewaardeerd door O3Spaces klanten

O3Spaces klanten waarderen het gebruiksgemak van O3Spaces Workplace zeer, zo blijkt uit een recent onderzoek.

O3Spaces heeft een onderzoek onder haar klanten gehouden om erachter te komen welke aspecten van de O3Spaces Document Management en Samenwerking oplossing haar klanten het meest waardeerden. Hieruit kwamen allerlei voordelen naar voren zoals O3Spaces Workplace's cross platform mogelijkheden, de verschillende integratie mogelijkheden, veilige toegang en document management functionaliteiten zoals versie beheer en calendering. Verbeter mogelijkheden die genoemd werden waren de komende e-mail integratie, meta tagging en workflow functionaliteit.

Hierbij was er een positief aspect van O3Spaces Workplace dat werd genoemd door alle geinterviewde klanten, haar gebruiksgemak.

O3Spaces Workplace's 'gebruiksgemak' en haar 'end-user readiness' kunnen worden toegeschreven aan het user-centered design (UCD). De Functioneel/UI Design Lead bij O3Spaces, Johan de Fouw past UCD toe omdat het een design filosofie is die gedurende de gehele design cycle focust op de behoeften, wensen en beperkingen van de eindgebruiker. "De meeste document management applicaties zijn ontwikkeld zonder de eindgebruiker in gedachte. Wij wilden dat anders te doen, de eindgebruiker in het middelpunt van ons design proces te plaatsen. Het alleen maar ontwikkelen van goede functionaliteit is niet goed genoeg; het bieden van goede functionalitiet gecombineerd met een geweldige eindgebruikers ervaring is waar wij naar streven."

Een resultaat van deze focus is dat de benodigde trainingstijd om een eindgebruiker bekend te maken met de applicatie erg beperkt is. Eindgebruikers kunnen al werken met het systeem na slechts een halve dag training. Dat deze filosofie werkt wordt onderstreept door de antwoorden van O3Spaces klanten op de vraag waarom ze hebben gekozen voor O3Spaces Workplace:

"Ik heb meerdere oplossingen getest en vond de O3Spaces oplossing het makkelijkst in gebruik. Daarnaast zag ik het potentieel voor aanpassingen aan O3Spaces die voor ons in de toekomst van belang zijn. De leeftijd en IT vaardigheden van onze gebruikers lopen zeer uiteen. We hadden dan ook een systeem nodig dat makkelijk in gebruik en onderhoud is."

"De focus op de eindgebruikers was een van de belangrijkste redenen voor onze beslissing. We werken in een niet-technische omgeving waar mensen geen zin hebben om nieuwe applicaties te leren. De beperkte trainingstijd was dan ook een groot pluspunt voor ons."

Maar niet alleen de trainingstijd is beperkt door de focus op de eindgebruikers gedurende het design. De installatie en configuratie nemen volgens O3Spaces klanten maximaal twee weken in beslag. Een klant daarover: "De installatie, configuratie en implementatie zijn allemaal gedaan in dezelfde week." Dit maakt O3Spaces Workplace een vereiste voor organisaties die meteen willen profiteren van hun Document Management en Samenwerking oplossing zonder dat daar een maar voortdurend implementatie project voor nodig is.

O3Spaces Workplace integreert naadloos in populaire Office pakketten als OpenOffice.org, StarOffice en Microsoft Office, waarmee deze producten verrijkt worden met krachtige en gebruiksvriendelijke Documentbeheer & Samenwerkingsfunctionaliteit voor teams, werkgroepen en afdelingen, onafhankelijk van de gebruikte besturingssystemen.

Mac OS ondersteuning
O3Spaces Workplace 2.3.0 is de eerste release die Mac OS X ondersteund. De toevoeging van ondersteuning voor Mac OS X (server & cliënt) vergroot de reikwijdte van O3Spaces Workplace wederom als cross-platform alternatief voor Sharepoint. Workplace 2.3.0 ondersteunt de Safari web browser en zal ook een plug-in voor OpenOffice.org 3.0 aanbieden zodra deze officieel beschikbaar is voor de Mac.

'Repository zoeken' in de Workplace Assistant
De Workplace Assistant, de optionele desktopcliënt, biedt nu 'repository zoekfunctionaliteit'. Zoeken naar bestanden, bestandsversies, opmerkingen en omschrijvingen is nu direct vanaf de desktop mogelijk. De mogelijkheid om meerdere bestanden tegelijk te downloaden vanuit de Workplace Assistant is een andere gebruiksvriendelijke toevoeging. Al deze functies werken samen met de repository bestandsverkenner om zo het vinden, ophalen en delen van uw documenten nog makkelijker te mak

Een nieuwe 'application embedder'
O3Spaces Workplace 2.3.0 biedt een “Application Embedder” die het mogelijk maakt om externe webapplicaties, wiki's en websites te integreren in de Workplace omgeving. Deze nieuwe module stelt O3Spaces klanten in staat om onafhankelijke webapplicaties en informatiebronnen samen te brengen in een gebruiksvriendelijke totaaloplossing binnen de Workplace omgeving.

Workspace-, map en bestandslinks
Een bescheiden, maar zeer nuttige noviteit in 2.3.0 zijn de workspace-, map- en bestandslinks die beschikbaar zijn in de Workplace browseromgeving maar ook in de notificatieberichten. Deze handige URL's faciliteren de communicatie over en directe toegang tot workspaces, bestanden en mappen. Workspaceleden en externe gebruikers hebben met één klik toegang tot relevante informatie.

Surfnet heeft recent een Technology Scouting onderzoek uitgevoerd naar het softwarepakket voor documentbeheer en samenwerken, O3Spaces Workplace. Deze diepgaande productevaluatie was opgebouwd rond twee centrale vragen, namelijk:

Is dit pakket inzetbaar bij de ondersteuning van projectgroepen en samenwerkingsverbanden in het onderwijs?
Hoe verhoudt het zich tot een pakket als SharePoint, dat de basis vormt voor het bestaande samenwerkingsplatform dat SURFnet nu aanbiedt aan het hoger onderwijs in Nederland?

Een onderdeel van de Technology Scouting was het testen van O3Spaces Workplace in verschillende scenario's die in het onderwijs veel voorkomen. De resultaten hiervan onderstrepen een cruciaal voordeel aan O3Spaces Workplace, het gebruiksgemak. De onderzoekers onderkenden namelijk dat slechts een beperkte eindgebruikerstraining nodig is om te zorgen dat projectgroepen en samenwerkingsverbanden snel en effectief aan de slag kunnen. Dit komt volgens de onderzoekers omdat O3Spaces de belangrijkste samenwerking functies als basis voor hun applicatie heeft genomen.

Belangrijke voordelen aan O3Spaces Workplace zijn dat de ondersteuning van gemengde omgevingen (MS Office EN Openoffice/StarOffice; Firefox EN IE; Linux, Windows, Solaris EN MAC OS X), de Workplace Assistant die zorgt voor integratie met de Desktop en de eenvoud in gebruik.

Daarnaast blijkt O3Spaces Workplace goed te schalen voor de ondersteuning van de verschillende soorten projecten die men in het onderwijs kan tegenkomen. Of het nou gaat om grotere projecten (met duizenden gebruikers), of kleinere projecten (binnen een faculteit), O3Spaces Workplace blijkt goed inzetbaar.

Waar Sharepoint veel meer een 'alles-voor iedereen' platformapplicatie is, focust O3Spaces Workplace zich meer op het perfect ondersteunen van een kleiner aantal functies. Dit maakt volgens de onderzoekers werken in O3Spaces dan ook makkelijker en efficiënter.

Sjabloonbeheer

Gemeente Heerenveen schakelt om naar OpenOffice.org en maakt van OpenOffice.org met O3Spaces Workplace een Web 2.0 enterprise applicatie. Op basis van de laatste release van O3Spaces Workplace heeft de Gemeente Heerenveen nu document management, collaboration en template management functionaliteit beschikbaar, geïntegreerd in de OpenOffice.org suite.

“De problemen waar we bij de migratie naar OpenOffice.org tegenaan liepen was het gebrek aan geïntegreerde functionaliteit voor document collaboration, versionering van documenten en het beheer van document templates”, zegt Johan Hiemstra, beleidsmedewerker informatisering gemeente Heerenveen. “Een belangrijk criterium voor deze functionaliteit is de naadloze integratie in de OpenOffice.org programma's, want de office suite is onze primaire applicatie.”

“Voor ons was belangrijk dat de migratie van MS Office naar OpenOffice.org door onze werknemers als echte verbetering ervaren zou worden en niet slechts als een vervanging van het ene product voor het andere. In onze nieuwe 'office omgeving' hoeft de eindgebruiker OpenOffice.org niet meer te verlaten om zijn documenten te beheren, samen te werken of een template te openen uit het gepersonaliseerde template menu. O3spaces Workplace in combinatie met OpenOffice.org biedt ons een geïntegreerde oplossing die tot voor kort nog niet op de markt beschikbaar was.”, zegt Hiemstra.

Gemeente Heerenveen gebruikt OpenOffice.org met O3Spaces Workplace op 500 werkplekken.

O3Spaces announces the immediate availability of O3Spaces Workplace 2.1, the integrated Basic Content Service (BCS) for the open source office suite OpenOffice.org and its commercial sibling StarOffice.
O3spaces provides document centric collaboration including real-time version control, check-in/check-out and document security.

The new key features for Version 2.1 are the significantly enhanced OpenOffice.org / StarOffice plugin and the new Microsoft Office plugin. The release of version 2.1 has both deepened and broadened the possibilities for document centric collaboration with O3Spaces Workplace.

For the OpenOffice.org & StarOffice suites the deeper integration means collaboration features such as comparing shared document versions, reviewing and adding document comments are now available to the user within the Office suite. The plugin also facilitates direct pdf-export of any ODF document to the Workplace.

Microsoft Office users can now also work with the O3Spaces Workplace collaboration features directly from within their Office suite. Effectively O3Spaces Workplace 2.1 helps to close the gap for the widespread adoption of the Open Document Format, by supporting an integrating mixed Office environments.

O3Spaces Workplace 2.1 also sports a feature-rich, easy to use and highly customizable AJAX Web interface. Users can quickly create workspaces for particular tasks or projects and use them to keep tabs on the related documents. Users can communicate with each other from within the workspace.

Paris, Gouda (Netherlands), 9 March 2007 - Mandriva and O3Spaces today announce their cooperation.

Mandriva now distributes O3Spaces Workplace as part of the Corporate Server 4 and Mandriva Linux Powerpack+ 2007 Spring editions. The cooperation also covers an extensive support agreement. This means that the customer is offered a well rounded software and service package to enhance office productivity, team work and collaboration based on Mandriva Linux server technology.

O3Spaces Workplace will become available to Mandriva's customers as part of Mandriva distribution bundles as well as through the Mandriva reseller network and online store.
